We handle personal information responsibly and provide individuals with rights including access to and correction of their personal data. This policy covers both our website at hub.virtuallymyself.com (Platform) and our marketing website at virtuallymyself.com.

  • Content you upload to your vault (documents, images, audio, video, and other files)
  • Content generated through our AI-powered services

3.1 Connected Platform Data

When you connect third-party platform accounts (such as LinkedIn, Facebook, Instagram, Threads, YouTube, BlueSky, or Reddit), we access and store:

  • Profile information (name, username, profile picture) as authorised during the connection process
  • Access tokens required to interact with the platform on your behalf
  • Your published posts and content for import into your vault
  • Engagement metrics (likes, comments, shares, reach) for content posted through our platform

We only access the data you authorise during the connection process and within the scopes (permissions) you grant.

We may collect sensitive information when reasonably necessary, with heightened privacy protection afforded to such data.

4. How Virtually Myself® Collects Personal Information

Information is collected when you:

  • Create an account or subscribe to our services
  • Upload files to your vault
  • Connect third-party platform accounts (LinkedIn, Facebook, Instagram, Threads, YouTube, etc.)
  • Use our AI chat, content generation, or publishing features
  • Purchase a subscription
  • Contact us for support
  • Access our website (see section on cookies below)

4.1 Information Storage and Protection

Personal information is stored securely using industry-standard practices:

  • Our application is hosted on Vercel in the Sydney (syd1) region
  • Database is hosted on Neon (PostgreSQL) with encryption at rest
  • File uploads are stored in Vercel Blob storage
  • All connections use HTTPS encryption in transit
  • Third-party access tokens are stored encrypted in our database

5. How Virtually Myself® Uses Personal Information

We use your information to:

  • Provide and improve our services, including AI-powered content generation, analysis, and publishing
  • Process your uploaded content through our vault pipeline (summarisation, topic extraction, and embedding for search)
  • Post content to connected social media platforms on your behalf, when you explicitly initiate a post
  • Collect engagement analytics (likes, comments, shares, reach) for content you have posted through our platform
  • Import your existing social media posts to your vault for analysis, when you request it
  • Send you service-related communications, including daily digests if enabled
  • Process payments and manage your subscription
  • Verify your identity and administer your account
  • Comply with legal and regulatory requirements

6. When We Disclose Personal Information

Personal information may be disclosed to:

  • Third-party service providers who assist in operating our platform (Vercel, Neon, Stripe, OpenAI, Anthropic, Deepgram)
  • Social media platforms when you explicitly choose to publish content (Facebook, Instagram, Threads, LinkedIn)
  • Professional advisers and insurers
  • Law enforcement or regulatory bodies when required by law

We do not sell your personal information to third parties.

6.1 Cookies and Website Activity

Our website records user activity including pages visited and access times. Cookies are small text files that retain user preferences to enhance your experience. Cookies may collect some personal information, which is treated consistently with other collected data.

7. Third-Party Platform Connections

When you connect a third-party platform, we store an access token that allows us to interact with that platform on your behalf. We use these connections to:

  • Import your existing content (posts, videos, transcripts) to your vault for analysis
  • Publish content you create in our platform to your connected accounts
  • Retrieve engagement metrics for posts published through our platform

You can disconnect any platform at any time from your Profile page, which immediately deletes the stored access tokens and revokes our access. We do not retain platform tokens after disconnection.

8. Data Retention

We retain your data for as long as your account is active. When you delete your account, we delete your personal information, uploaded content, and connected platform tokens within 30 days. Some anonymised usage data may be retained for analytics purposes.

9. Data Deletion

You can request deletion of your data at any time by:

  • Disconnecting platforms: Go to your Profile page and click "Disconnect" next to any connected platform. This immediately deletes the stored access tokens and revokes our access.
  • Deleting vault files: You can delete individual files from your vault at any time.
  • Account deletion: Contact us at assistant@virtuallymyself.com to request full account deletion. We will delete all your data within 30 days.

If you connected your account via Facebook, Instagram, or Threads and wish to have your data deleted, you can disconnect from your Profile page or contact us using the email above.

10. Accuracy of Personal Information

We take reasonable steps to ensure that the personal information we collect, use, or disclose is accurate, complete, and up to date. Please advise us of any inaccuracies or outdated information so we can correct it.

11. Access to Personal Information

You have the right to access the personal information we hold about you, subject to legal exceptions. You also have the right to request correction of inaccurate information, withdraw consent for third-party platform connections, and export your data by downloading files from your vault.
